Client:

Household name Company in the chemical supplies industry

Issue:

The traditional paper and spreadsheet methods of managing staff sickness were proving extremely ineffective with many staff absences going unrecorded. The Directors decided that the company could benefit from a ‘quick win’ in terms of staff productivity, if staff absenteeism could be reduced using an effective sickness management system.

Requirements:

The client required a sickness management system that would:

  • Distinguish between a number of different types of sickness absence categories
  • Display individual staff absences to managers and HR staff
  • Allow for improved implementation of absence policies
  • Provide a simple and accessible method for reporting and identifying absence trends

Solution:

Flexible sickness management

The e-days sickness management system allows for the creation of unlimited absence types. Each absence type has a set of rules associated with it including whether or not it affects holiday allowance or contributes to a sickness level.

This feature allows for the client to accurately monitor absence such as medically certified leave, lateness and AWOL in addition to standard absences such as holiday and sickness.

Individual staff absence records

By recording new absences and bringing historical absence data online the client now has an instant overview of an employee’s holiday, sickness and absence records including: how much holiday the person has left this year; if they carried over any holiday and other summaries such as sickness recorded over the last 12 months.

Through using the e-days sickness management system this client has been able to centralise their records giving administrators, managers, supervisors and staff greater access and control over absence.

Alignment with absence policies

Whether or not an organisation has effective absence policies will entirely depend on the system in place to both monitor activity and then enforce it.

On this occasion, the client wanted to reduce absenteeism across the organisation but was finding it difficult without a simple and standard method for recording absence.

The fast and flexible process for recording absence within e-days allows the client’s managers and HR staff quick access to accurate historical absence data across their entire workforce. This has made spotting patterns of absence easy and allowed the client to focus on pro-actively reducing absenteeism in the workforce.

The client also utilises the automatically calculated Bradford Factor to provide them with an objective and formulaic method for identifying and assessing where certain individuals or teams may have an issue with absence.

Reporting and identifying absence trends

The majority of information within an organisation in modern times is kept in digital format. This allows for easy access, duplication and amendment of that data. Why should absence records be any different? This client regularly spent many hours per month collecting, summarising, analysing and re-filing records in order to identify potential issues, payroll statements and trends within the organisation.

Absences are now inputted directly into the e-days sickness management system; meaning that records are stored centrally and are accessible immediately by anyone with permission. The graphical ‘front-end” interface including management action lists and calendars combined with the powerful administrative features like reporting, alerts and exports have allowed this client to turn whole month-end projects into simple tasks.

This client now has a far greater understanding of their absence problem across the business and this is allowing for them to plan for the future and act in the present.

Result:

Staff absenteeism reduced; staff productivity up!
